family office relationship manager

Position:

We are seeking to hire an experienced individual to serve as a Family Office Relationship Manager (“Manager”) reporting directly to the Partner of Family Office Services.  The Manager will serve as a trusted advisor to the Partner and the Family Office Services team.  He/she will be directly responsible for the management of the service operations and administration processes for complex high net worth individual clients and their entities, as well as the supervision of the dedicated client service team. The FOS Manager must be an individual who will be clearly aligned with Maestro’s Family Office Services leadership to maintain core values and best-in-class services on behalf of our family clients.  They must always use discretion and be prudent in their judgement.  In addition, this candidate must be able to build and foster long lasting relationships, both in and out of the office. 

 

The position offers an excellent opportunity for an experienced family office professional with a diversified background to assume the responsibility of bespoke client service and directly assisting the Partner with all aspects of client services. 

Responsibilities:

  • Participate in key decision making as part of management team, including developing performance measures that support the Family Office Services division metrics and goals 
  • Manage relationships with the client’s third-party advisors, including legal, accounting, banking, partnership and finance relationships 
  • Monitor financial transaction processing software systems 
  • Directly responsible for relationships with clients of high net worth, their family members, closely held entities, and third-party advisors.  This responsibility includes all client communications, scope and budget planning, seamless onboarding preparation and procedures, coordination of information sharing between client and family office team, report package preparation and presentation, and supervision of client service team 
  • Manage the development and production of sophisticated financial reporting packages and modeling for multi-family clients including net worth statements, total asset reviews, cash flow reports and forecasting, statements of income and expense, income tax summaries and planning ideas, budget management and other customized reports 
  • Coordinate with the Tax and Advisory Group to develop tax reporting summaries and long-term strategies by contributing fiscal and accounting analysis to formulate high level recommendations for consideration and discussions with the client and their investment and financial advisors 
  • Develop client communication highlight reports for financial and tax strategies, forecasts and action plans for capital availability, short/long term cash requirements, and transactional event opportunities 
  • Oversee and communicate issuance of financial and accounting report packages to family member clients and their advisors as instructed 
  • Coordinate client advisor communication and sharing of information 
  • Manage capital requests and budgeting processes for family members and households 
  • Coordinate client entity structure documentation for family members, closely held entities, family trusts and foundations.  This includes generating or obtaining organizational charts, entity summaries and controls measure guidelines/procedures 
  • Assign, oversee and manage client service team of three to four team members and their production including accounts payable, payroll, tax report collection, financial reporting and other tasks as needed 
  • Monitor client cash balances on a daily basis reporting any discrepancies immediately to the client 
  • Monitor loans, debt, and other liabilities of client family members and their entities 
  • Assist Special Projects Manager as needed to deliver outstanding research and development reports 
  • Analyze finance/accounting operations identifying opportunities for improvement, cost reduction and systems enhancements
  • Promote process improvement by continuously reviewing and challenging best practices for family office services, finance and accounting operations 
  • Review and ensure proper controls around risk areas for our clients and report lack of controls to the Partner of Family Services accordingly 

 

Skills and Experience for Success:

  • Significant experience working directly with high-net-worth individuals and their advisors 
  • Critical and strategic thinker who thrives in a quick pace, ever changing, complex environment 
  • Financial and accounting statement experience with the ability to think outside standard reporting processes 
  • Proficiency in software including as Sage, QuickBooks, REACH Reporting, Rockit, Archway, Crystal Reports, bill pay software (bill.com), as well as Office 365 products such as Excel, Word and PowerPoint 
  • Detail oriented, but able to understand the client’s needs and bigger financial picture 
  • Presents with professionalism, strong communication, writing and listing skills 
  • Thoughtful leader regarding internal controls and protocol safety of clients’ personal data 
  • Team player with a high EQ willing to “roll up their sleeves to do what it takes” 
  • Approachable, trustworthy and dependable individual and leader, with exceptional interpersonal and team development skills 
  • Knowledge of trusts and estate organization and planning a plus 

 

Qualifications:

  • The ideal candidate for the position of Family Office Services Relationship Manager will have progressive experience in accounting and reporting, strategical financial planning and analytical skills, and proven to be a strong leader in a single or multi-family office.  The individual will be a leader who partners with an extensive management team and junior staff and has a high level of written and oral communication skills.  The ideal experience will include the following: 
  • Minimum of 5-10+ years of accounting and financial reporting experience within the single/multi-family office, wealth management, accounting or personal advisory industries 
  • A bachelor’s degree in accounting or finance, however an MBA or certification is preferred (i.e. CPA, CFP) 
  • Prior experience working with or advising high net worth individuals with complex tax and estate planning structures, and the ability to understand their individual needs and concerns 
  • Strong financial advisory and modeling skills, with concentration on investment analytics, financial reporting and financial controls

Location:
