Tax Office administrator
- Position:
We are seeking an exceptional individual to serve as our Tax Office Administrator within Maestro’s Tax & Accounting Division. The Tax Office Administrator will be a key member of the Tax Team and will have proven experience in; office management, communicating with senior management, and a thorough knowledge of filing systems, tax office software and MS office. Additionally, candidates must be highly motivated, detail-oriented and able to juggle multiple responsibilities in a fast-paced work environment. This role will report directly to our managing partner of Tax and Advisory Department and could grow into multiple roles within the Company.
Responsibilities:
The Tax Office Administrator will work with the other members of the client teams to ensure the following tasks are completed:
- Receive incoming mail, including client tax documents and sort, forward or scan to appropriate team member
- Answer and screen incoming telephone calls for office, taking accurate and detailed messages
- Maintain and manage client physical and digital files
- Perform a wide variety of administrative duties as required by daily operations
Skills and Experience for Success:
- Comfortable with technology and advanced excel
- Ability to be trained in and master office systems (XCM, ShareFile, AutoFlow) and to communicate and coordinate processes between tax professionals
- Excellent verbal and written communication skills
- Professional demeanor and pleasant telephone manner
- Ability to multi-task and self-direct work and projects assigned
- Demonstrated ability to foster positive working relationships with personnel at all levels of the organization and across functions
- Must exercise excellent judgment and discretion with confidential or sensitive materials
- Attention to detail; ownership over work and end-product
- Ability to work under pressure and stay ahead of tight timelines, in a fast-paced office environment
Qualifications:
- The ideal candidate for the position must be willing to learn new concepts and ideas. They must be a hard worker and be comfortable sharing unique ideas and concepts.
- The ideal experience will include:
- 1-2 years of experience working in an office administrative role, experience in a tax firm preferred
- Associates Degree required
- Mature interpersonal style, a positive and enthusiastic attitude, and a sense of humor
- Detail oriented with ability to implement organization
- Must be able to work late 15-20 days per year, along with 5 Saturdays per year during busy season
- Must have reliable transportation to drive for occasional banking
